Booking, Payment, Cancellation & Refund Policy
At WalkAroundIndia, every journey is carefully designed around our guests—their interests, pace, travel style and expectations. Our experiences often involve boutique and heritage accommodation, specialist guides, private transport, exclusive experiences, workshops and carefully curated encounters. Because many of these arrangements require advance reservations and payments, the following policy applies to our bespoke journeys unless otherwise agreed in writing.
A Note About Bespoke Travel
Every WalkAroundIndia journey is individually designed and involves carefully selected hotels, experts, guides and experiences. As many services require advance commitments, cancellation and refund terms may vary depending on the confirmed arrangements. Your specific payment and cancellation terms will always be clearly stated in your final proposal and booking confirmation.
1. Bespoke Travel Proposals
All itineraries and quotations prepared by WalkAroundIndia are individually designed based on the requirements shared by the guest or travel partner. A proposal is tentative until written acceptance, receipt of the required deposit or advance payment, and confirmation of relevant services with suppliers. Hotel rooms, specialist guides, private experiences, safari permits, transport and other services remain subject to availability until formally confirmed.
2. Booking Confirmation
To confirm a journey, guests must confirm the final itinerary and quotation in writing, pay the required deposit or advance payment, and provide necessary traveller information within the requested timeframe. WalkAroundIndia may make advance payments and contractual commitments to suppliers once the booking process begins.
3. Payment Terms
The payment schedule for each journey will be clearly stated in the individual proposal or invoice. An initial deposit is required to begin confirming hotels, transport, guides and other services. The remaining balance must be paid according to the agreed schedule and before the commencement of the journey unless otherwise agreed in writing.
4. Currency and Pricing
Prices may be quoted in USD, EUR, GBP, INR or another agreed currency. Quotations are based on exchange rates and supplier prices applicable at the time of preparation. For journeys booked well in advance, prices may be subject to revision where there are significant changes in exchange rates, taxes, hotel prices, transportation costs, airfares, fuel prices, entry fees or supplier costs.
5. What Happens When We Receive Your Payment?
Once payment is received, WalkAroundIndia may immediately use all or part of the payment to secure services including hotel deposits, domestic flights or railway tickets, private transport, specialist guides, expert fees, safari permits, private experiences, workshops, monument or museum access and other third-party services. Certain payments may therefore become partially or fully non-refundable once committed to suppliers.
6. Cancellation by the Guest
If you need to cancel your journey, you must notify WalkAroundIndia in writing. The cancellation date will be the date on which we receive your written cancellation request. Because each journey is bespoke, cancellation charges may vary depending upon the confirmed suppliers, accommodation and experiences involved. Unless a different cancellation policy is specified in your confirmed proposal, the following general cancellation schedule may apply:
Cancellation Timing |
General Cancellation Terms |
|
More than 90 days before arrival |
Refund of amounts paid, less non-refundable deposits and costs already committed to suppliers. |

60–89 days before arrival |
Up to 25% of the total journey cost, plus any non-refundable supplier costs. |
|
30–59 days before arrival |
Up to 50% of the total journey cost, plus any additional non-refundable supplier costs. |
|
15–29 days before arrival |
Up to 75% of the total journey cost. |
|
14 days or less before arrival |
Up to 100% of the total journey cost may be retained. |
|
No-show or early departure |
No refund will normally be provided for unused services. |
7. Supplier-Specific Cancellation Charges
Some services may have stricter cancellation conditions, including boutique and heritage hotels, luxury hotels, private residences, safari lodges, wildlife permits, domestic flights, special access arrangements, private workshops, specialist experts and exclusive experiences. Where a supplier has a stricter cancellation policy, relevant supplier charges may apply regardless of the general cancellation schedule.
8. Refunds
Where a refund is due, WalkAroundIndia will process it after receiving confirmation of refundable amounts from relevant suppliers. Refunds will normally be made using the original payment method unless otherwise agreed. Non-refundable items may include hotel deposits, domestic airline tickets, visa-related costs, bank charges, payment processing charges, currency conversion charges, supplier cancellation fees, special permits and fees for services already delivered.
9. Changes Requested by the Guest
We will make reasonable efforts to accommodate requested changes. Changes may result in revised hotel rates, additional transport costs, airline fare differences, supplier amendment fees, changes in availability or revised specialist guide fees. Any additional cost will be communicated where reasonably possible.
10. Changes Made by WalkAroundIndia
Travel arrangements may occasionally need modification due to weather, road closures, transport schedule changes, monument or site closures, government restrictions, wildlife regulations, safety considerations, local events, supplier cancellations or force majeure events. We will make reasonable efforts to provide an alternative of comparable quality and value.
11. Force Majeure and Exceptional Circumstances
WalkAroundIndia shall not be responsible for delays, cancellations, changes or additional expenses caused by circumstances beyond our reasonable control, including natural disasters, severe weather, floods, earthquakes, political unrest, civil disturbances, government actions, strikes, transport disruption, epidemics or pandemics, border closures, war, terrorism or other unforeseen events.
12. Travel Insurance
We strongly recommend comprehensive travel insurance before making a non-refundable travel payment. Insurance should ideally cover trip cancellation, trip interruption, medical emergencies, emergency evacuation, baggage loss, delays and personal liability.
13. Unused Services
No refund will normally be provided for services not used by a guest after the journey has commenced, including voluntary changes, late arrival, early departure, missed flights, personal choice not to participate, illness or other personal circumstances.
14. Special Payment Arrangements
For selected guests, travel partners or bespoke long-term collaborations, WalkAroundIndia may agree to a customised payment arrangement in writing. Where a customised payment schedule has been agreed, the terms stated in the written proposal or invoice will take precedence.
15. Travel Partner and Agency Bookings
Where a booking is made through an international travel advisor, tour operator or other authorised travel partner, payment and cancellation terms may be governed by the agreement between WalkAroundIndia and that travel partner.
16. Our Commitment to Fairness
WalkAroundIndia believes that travel should be built on trust and transparency. In the event of a cancellation or unexpected change, we will make reasonable efforts to recover refundable amounts from suppliers, provide clear information regarding non-refundable costs, explore practical alternatives where possible and treat each situation fairly and transparently.
